Wedding & event terms and condition
1. Booking & Deposit
A non-refundable deposit is required to secure the booking date.
- Bookings are confirmed only after the deposit payment has been received.
- THE PORTret reserves the right to release the date if no deposit is made.
2. Payment Terms
- The remaining balance must be paid at least 3 days before the event date.
- Failure to complete payment within the stated timeframe may result in:
- Delay in service preparation, or Cancellation of service without refund of deposit.
3. Cancellation Policy
- No refund will be given for any cancellation made within 2 months (60 days) before the event date.
- Any cancellation made earlier than 2 months is subject to management discretion, and deposit remains non-refundable.
4. Delivery Timeline
- For wedding, Photo and/or video delivery will take 2 to 8 weeks, depending on workload and queue.
- For event, Photo and/or video delivery will be stated in quotation or invoice, normally 7 working days to 14 working days depending on workload and queue.
- During peak seasons, delivery may exceed the stated timeframe.
- In case of delays, THE PORTret will: Deliver at least 50% of edited photos within the expected timeframe, where applicable.
5. Online Gallery & File Responsibility
- Final photos will be delivered via an online gallery link sent through email.
- Clients must download all files within 4 weeks from the date of delivery.
- THE PORTret will not be responsible for any lost files after the download period has expired.
6. Client Satisfaction & Dispute Handling
- If there are any concerns regarding the final output, both parties agree to discuss professionally to reach a mutual resolution.
- Any act of defamation, public shaming, or viral exposure without prior discussion may result in legal action by either party.
7. Albums, Frames & Printables
- All albums and frames are produced by selected third-party suppliers chosen by THE PORTret.
- Estimated production time: 3 days to 2 weeks.
- Once materials are submitted to the supplier: Any delays are beyond THE PORTret’s control. THE PORTret will assist in follow-ups but will not be liable for supplier delays.
8. Complimentary (FREE) Items & Services
- Any items or services stated as FREE (e.g., outdoor session, extra crew, frames) are non-refundable.
- Clients cannot request compensation or replacement if freebies cannot be fulfilled due to: Weather conditions (e.g., rain), Crew availability limitations, Supplier stock or price changes & Any unforeseen circumstances
9. Force Majeure
- THE PORTret shall not be held liable for failure or delay in performance due to circumstances beyond control, including but not limited to: Natural disasters, Government restrictions, Accidents, illness, or emergencies
10. Creative Rights
THE PORTret retains the right to:
- Use photos/videos for portfolio, marketing, and promotional purposes
- Maintain creative control over editing style and final output
11. Client Responsibilities
Clients must ensure:
- Proper coordination of schedule and locations
- Necessary permits (if required)
- Cooperation of participants during shooting
- THE PORTret is not responsible for missed shots due to: Late arrival, Poor coordination, Restrictions imposed at venues
12. Limitation of Liability
- In the unlikely event of equipment failure, data loss, or unforeseen issues: Liability is limited to a refund proportional to the service affected
- THE PORTret is not responsible for indirect losses (emotional, business, or otherwise).
13. Agreement
- By confirming the booking and making payment, the client agrees to all terms and conditions stated above.
